Using PolyCom conference phones

Starting up/Restarting the system (KNOY 202)

Before using the system (even to make/receive phone calls), you must be sure that the Polycom unit in the cabinet is working and responsive, and that it is not muted.

 

Working and Responsive

The most reliable way to test this is to use the Crestron, select Flat Panel 1, and send the "Polycom" to it.

If it is working and responsive, you should see the room with yourself in it on the screen, possibly with some text superimposed.

If you do not see yourself, please look at the front of the cabinet next to the PC and look for a VCR-sized device that says "Polycom".

1) Is there a light on it?

  1. No - Open the small panel to the left of the light, and press the power button for 1 second. 

    1. In 3 minutes, the Polycom cameras should swivel, and you should see the room on the flat screen as mentioned above.

    2. In 5 minutes, the speakerphone should be fully operational.  It might display the (incorrect) time on it before then, but will be unable to make/receive calls.

  2. Yes -

    1. It might be asleep. 

      1. Open the small panel to the left of the light and press the power button for one second.

      2. You should see the room on the flat screen within a minute - if not, go to "It might be stuck/frozen" below

      3. The phone should now work to make/receive calls

      1. Open the small panel to the left of the light.

      2. Press and hold the power button for 15 seconds.

      3. Press the power button for 1 second.

      4. In 3 minutes, the Polycom cameras should swivel, and you should see the room on the flat screen as mentioned above.

      5. In 5 minutes, the speakerphone should be fully operational.  It might display the (incorrect) time on it before then, but will be unable to make/receive calls.

Not Muted

The Polycom speakerphone has a "Mute" button to the bottom right of the number pad.

If mute is activated, the lights on each of the "legs" of the speakerphone's tripod will be red.

If mute is deactivated (the phone's mic is active), then the lights will be green.

 

Making a call

  1. Press the 2nd button from the left under the display, labeled "Add Phone".

  2. Enter the phone number you wish to call

    • You do NOT need to have a '7' in front to dial off campus for your initial call (see below for conference calls).

    • if you misdial, the automated message will tell you you need a '7', but it lies.

    • You do need a '1' in front if dialing a different area code.

  3. Press Dial

  4. If there is still silence, you are calling outside or local calling area.  Dial your MERS number.

  5. You should now hear the phone ringing.

 

Making a Conference Call

  1. Make your initial call as usual.

  2. Once the initial call is connected, press the 2nd button from the left under the display, labeled "Add Phone".  The 1st call will be put on hold. You now have a live dial tone.

  3. Dial the number that you are connecting to.

    1. You DO need a 7 in front to dial off campus.

    2. You do need a 1 in front if dialing a different area code.

    3. Dial the number.

    4. Immediately add the MERS if long-distance number (since this is a live tone).

  4. Press "Add phone" again to merge the calls.

 

Receiving a call

If the Polycom unit is working and responsive (see above), there should be an "Answer" option for one of the buttons right below the screen which you can press to answer the call.
