Given the evolving global risk environment and the University’s responsibility to support international travelers during emergencies, it is essential that all university-related travel follow established authorization and safety protocols. Please remind faculty and staff in your units of several important requirements and recommendations related to university international travel.
- Trip Authorization Required through Concur Prior to Travel
All faculty and staff must submit a Trip Authorization request in the Concur system before any trip begins. This requirement applies to all travelers whose trips are supported by university or grant funding. Submission is also strongly recommended for those traveling on external funds, as it is one of the primary mechanisms through which the University can verify traveler locations in the event of an emergency or crisis. Registering travel in Concur also ensures that individuals are covered under Purdue’s travel and evacuation insurance policies. Furthermore, by utilizing the Concur system or Purdue's AAA services to book travel, faculty and staff will also receive assistance when flights are disrupted, rebooking is required, etc.
- Compliance with the Purdue University Travel Matrix
Please remind faculty and staff to review the University’s Travel Matrix when planning international travel. Certain destinations identified in the matrix require explicit department head approval.
Travelers should check the matrix early in their planning to ensure they remain in compliance with university policy and risk management procedures.
