Distinguished Seminar Submission Process

Thank you for your interest in inviting a speaker to Mechanical Engineering as part of the ME Distinguished Seminar Series!

 

The deadlines to submit speakers for the 2025-2026 school year are as follows: Seminars for the fall semester must be submitted by September 1, 2025; Seminars for the spring semester must be submitted by December 1, 2025.

 

In order to schedule your seminar:

  1. Decide as an area who you would like to invite and appoint an official host faculty.

  2. The host faculty will informally reach out to the speaker to confirm their interest and discuss availability.

    • Note: Due to limited room availability due to construction, all seminars for FALL 2025 will occur Thursdays from 1:30-2:30 PM followed by Q&A from 2:30 - 3:00 PM in the Fu Room in POTR.

    • If you would like a different space for your seminar, it will be your responsibility to book this space.

  3. Together the speaker and the area will select and sign up for a week based on availability. Available weeks and the sign up for the 2025-2026 school year are listed here: https://engineering.purdue.edu/MECL/tools/events/Events/Event.php?id=393

    • Note: Areas and speakers will need to communicate early to ensure they secure their slot as sign up is first completed, first scheduled. Only one Distinguished seminar per week will be allowed.

  4. Next, the area will submit their seminar here: https://forms.office.com/r/EDeyNdUAt0

  5. Following form completion, a formal invitation will be sent to the Speaker on official ME Letterhead.

Has reserved POTR 234 every Thursday from 1:30 - 3:00 PM for Seminars

Prepare and send official invitation

 

Creates and arranges all aspects of itinerary including meetings, moving about campus, and on-campus transportation.

Note: Eckhard Groll would like to be invited to have a meeting with all visiting guests.

Orders Lunch for graduate students

 

Invites Participants for breakfast and dinner

Setup/Teardown of Seminar Rooms

 

Makes breakfast and dinner reservations
(Admin can assist)

Follows up with Thank You and Reimbursement information

 

Invites graduate students for lunch

Arranges speaker's accommodations
