Faculty Affairs is pleased to offer Elements Scholarly & Creative Works Curation support to the Lyle School of Civil and Construction Engineering. This initiative aims to ensure faculty records in the Elements system are accurate and complete by providing targeted assistance with the Scholarly & Creative Works module. For your reference, a copy of the program announcement that went out on Friday, January 24th is attached.

The curation project is separate from the annual performance review process. Faculty should complete their annual performance reviews according to their department/school guidelines and schedule.

Curation Support Process
1.

If the faculty member has an ORCID ID, it needs to be connected to Elements. If it is not connected to Elements, it will delay their profile curation. An Elements Data Assistant updates the faculty member’s Scholarly & Creative Works records based on the intake form and CV.

Once initial updates are complete, the faculty member will be invited to schedule a 30-minute session with an Elements Data Assistant to review changes, request any additional edits, and receive brief training.

The faculty member will receive a notification when the final edits are complete.
This curation project will continue through the summer, and faculty may schedule their session during the summer or at the start of the fall semester.

Subject: Support Available for Elements Scholarly & Creative Works Curation
Dear Department Heads,
The Office of the Provost is dedicated to ensuring accurate and comprehensive faculty records in the Elements system. In collaboration with IDA+A, the Provost’s Office has prioritized a coordinated curation of the faculty Scholarly & Creative Works module. This initiative will employ student workers who, under IDA+A guidance and with appropriate training, will work closely with departments to update faculty profiles, thereby improving the accuracy and completeness of these records.
Department/School Heads that would like to request support for their department should reply to this email.
The Provost’s Office and IDA+A will review requests and prioritize departments/schools per specific criteria, as outlined in the Program Announcement Memo (attached).
Departments will be notified when they are selected for curation to begin. An overview of the process is outlined below for your reference.
1. Department/School Head notified that support is available for faculty in their department.
1. Department/School Head confirms to their CSM which faculty within the unit require assistance with scholarly work curation.
1. The faculty will complete a short intake form and upload a current CV.
1. Based on the intake form and the faculty’s CV, an undergraduate Elements Data Assistant will make edits to the Scholarly & Creative Works module.
1. After initial edits are complete, faculty will be contacted to book a 30-minute 1:1 session with an Elements Data Assistant to review modifications. During the session, the Elements Data Assistant will review changes and demonstrate how to complete edits. This targeted training session will empower faculty to make their own changes in the future.
1. The faculty and the College Success Manager will receive notification when changes are complete. If no response is received within two business days, work will be considered complete for that faculty member.
