Subject: Annual review and collection of CVs
Engineering heads,
As a follow up from last week’s departments head forum, it’s pretty clear that there are still going to be some snags in elements regarding syncing PERA and grants activities to elements. I know, who’d have had that on their 2025/6 bingo card? Shocking!
The problem appears to be if a faculty member hits “review” it freezes the elements profile at that point and we know that not all the PERA and teaching activity in the fall 2025 will then be in there if they hit review “too early”. The grants and teaching data won’t be in elements until mid-February. I can sympathize and agree this is frustrating, but we need a way to move forward that doesn’t mess up most faculty data.
So, we are going to delay opening the annual review process until March 1. Your faculty can and should still curate their elements information at any time, they do not need to and should not wait until March 1. They can check papers to make sure they are correct. They can enter their invited talks. They can check if the funding profile is correct (and yell when it’s not picking up the ones that started in December until February).
Please let your faculty know that the elements system is open for curating, but that the “click here to submit your review" process in elements won’t start until March 1.
At the same time, we still need to collect all tenure/tenure track and clinical faculty full CVs each year. Please have your admins collect all faculty’s updated CV in January, and have them ready to upload to a shared box file before Jan. 25th. Shawn will be following up with your admins for naming convention and such. Remind your faculty these are not used for public display, but are used to help find awards they are eligible for, and for tracking publications and other reporting we have to do for the university. We check these versus things like Scopus; it’s particularly helpful for the CVs where conference proceedings are a key portion of the CV but they may not always show up on external search data bases.
