Dear All Birck researchers/users,

We’re happy to report that we are well underway with implementation of a new equipment scheduling/reservation system at Birck Nanotechnology.  iLab Solutions is providing the new reservation system with a much improved and more intuitive user interface.  iLab will be accessible from any device with a web browser, even your cell phone!  Our current system, Coral, is being retired due to lack of ongoing support and other limitations.  Beyond the improved user experience the iLab Solution offers many advantages on the back end as well, a few of those are listed below.


•         The registration process to use iLab is online, and students can register themselves without the need to have the PI submit the request.  PI’s or their delegates will still need to approve the students use of their accounts but no more waiting on the current manual processing system!


•         Users can submit training requests directly on the system and will no longer need to track down the correct staff to request this training.  Staff will see the request and coordinate the scheduling as appropriate.


•         For those users that require split billing for equipment usage, you will be able to manage this at the time of use instead of after the billing has been sent for review.


•         The system is flexible enough that we can post links and resources for each system so that information is easy to find and readily available, you can expect more of this after go-live!


•         iLab integrates with Purdue’s existing SAP system (accounting) and should nearly eliminate billing errors.

As we approach the transition from Coral to iLab we would like to make you aware of a few things.  First, our facility is large with so many great research tools that it wasn’t possible to shift the entire building on one single date.  Our rollout plan has about half of our equipment migrating to iLab in December and the remaining equipment in January.  Therefore we will be operating both systems for a month which may cause some confusion, we will try to make it apparent which tools have migrated.  Along with signage, the current plan is to have those systems that will be migrated to iLab shutdown in Coral on go live day.  On the shutdown messages in Coral there will be a note stating that the tool has been moved into iLab to direct users to the new system.  The staff will also try to migrate the reservations made past that date to the new system if possible (that will require that you have already registered for iLab and have been approved by your PI, more on that below).  After the second go live in January, Coral will be taken offline and will become unavailable.

You can register for iLab now!  It is better to be proactive so you don’t experience any downtime on your research waiting on account approvals.  All PI s have been uploaded to the system already, so you can go ahead and register with iLab and start your approval process today!

Select the Click here option as an Internal Purdue User at the top right.  You will be taken to a secure Purdue page to enter you career account alias and password.  You will then be redirected to an iLab sight to complete registration.  There you will be asked a couple of questions and will need to identify your PI.  Once you submit that registration your PI will need to approve you as his/her student.

Once you have access to iLab, feel free to get in there and look around!  Purdue has many cores live already that you can view.  Many other institutions are using iLab and you can view their sites as well!   As we begin this roll-out please contact me or other engineering staff members if you have questions.
